Privacy and safeguarding

How we handle personal data and look after the people in our programs.

This page explains how Venture Village Oy handles personal data, and how we look after the students, teachers and delegates who take part in our programs. It is written to be read by parents, schools, universities and authorities alike.

Who is responsible for your data

What we collect and why

When you contact us. Your name, organisation, email address, country and message. We use them only to answer you and to follow up on your enquiry.

When a group takes part in a program. The school, university or organiser shares what we need to run the program safely: participants’ names, travel details, emergency contacts, and dietary or health needs that matter during the program. We use this data only for that program.

Photos. Photos taken during programs, used only as described under Photos below.

We do not sell personal data, and we do not use it for advertising.

  • Answering enquiries: our legitimate interest in replying to people who contact us.
  • Running programs: our agreement with the school, university or organiser, and our legitimate interest in keeping participants safe.
  • Health and dietary information: the explicit consent of the participant or, for minors, a parent or guardian.
  • Photos: consent.

Who we share data with

Only with those who need it to deliver the program: Venture Matkat, our on-ground logistics service, and the accommodation, transport and venue providers it works with. We share only what each of them needs. Our website and email services are provided by technology companies that process data on our behalf under data processing agreements. We keep data within the EU or EEA, or use the safeguards the GDPR requires when that is not possible.

How long we keep data

  • Enquiries: as long as needed to answer and follow up, and no longer than 24 months after our last contact.
  • Program data: until the program and its follow-up are complete, and no longer than 12 months after the program ends.
  • Accounting records: as long as Finnish law requires.

Cookies and analytics

This website does not use analytics or marketing cookies at the moment. If we add them, we will ask for your consent first, and you can change your choice at any time from the Cookie settings link in the footer.

Photos

We publish photos of students only with consent on file. For students under 18, consent comes from a parent or guardian. Adult delegates’ photos are published only after the organiser has confirmed. If you want a photo of yourself or your child removed from this website, write to us and we will remove it.

Your rights

Under the EU General Data Protection Regulation you can ask to see the data we hold about you, have it corrected or deleted, restrict or object to its use, receive it in a portable format, and withdraw consent at any time. You can also complain to the Office of the Data Protection Ombudsman in Finland (tietosuoja.fi).

Safeguarding

The safety and wellbeing of every participant comes first, especially when students are under 18.

  • Supervision. Students are supervised by their own teachers, and our team in Finland supports the group throughout the program.
  • Support on the ground. Every group has a contact person in Finland during the program, with emergency support and group coordination.
  • Incidents. Any incident is reported to the group’s teachers and the organiser, recorded, and followed up.
  • Raising a concern. Anyone can raise a concern about a participant’s safety or wellbeing by writing to info@venturevillage.world or calling +358 (0) 403209350.
